Software Selection

Subscription software selection

Choose subscription software by checking its billing, orders, customer changes, exports and costs against the physical-product offer you plan to run.

Choose subscription software by checking whether it can carry one promised delivery from sign-up through payment, order creation and packing. Write down the offer first: a feature list cannot show whether an app will run your combination of products, schedules and customer changes.

Define the offer

Record whether customers pay for each delivery or in advance, which products and intervals are available, when changes close, and what happens after a failed payment. Include cases that may strain the setup, such as products on different schedules or a prepaid parcel due without a new charge.

Turn each customer promise into a checkable outcome. For a skip, identify the affected delivery, its charge and the next scheduled delivery. For a swap, identify eligible replacements, the resulting price and the first parcel to contain the new item.

Check the customer journey

Include the checkout and account experience in your selection criteria, not just the staff workflow. Shopify Subscriptions shows the order frequency and discount in the checkout summary, and customers must agree to the cancellation policy terms before completing a purchase.

Check that customer access suits the store's setup. Signing in from the store menu requires activated customer accounts; customers can also use a subscription-management link in an automated email. Shopify Subscriptions sends an upcoming-order reminder three days before a recurring charge; third-party apps set their own notification schedules.

Check the records behind the promise

A subscription contract describes what should recur. A billing attempt records an effort to collect payment, and an order directs fulfilment.

On Shopify, new orders are created for pay-per-delivery cycles, while a prepaid order can contain several scheduled fulfilments. Editing a Shopify order does not edit its subscription contract; other platforms may represent these events differently.

Ask each provider to show where staff would find the affected delivery after a failed charge, product change or prepaid shipment. The records should let staff distinguish a recovered payment from a later cycle and identify which parcel is ready for packing.

Check fulfilment handling

For prepaid subscriptions in Shopify, a scheduled order stays marked Scheduled until its fulfilment date; it then changes to Unfulfilled and can be packed. Staff can review the next scheduled fulfilment on the order or view all scheduled fulfilments. Check that the proposed workflow keeps upcoming work distinct from ready-to-pack work.

Shopify's Orders page can be filtered by Scheduled or Unfulfilled fulfilment status. Unfulfilled orders can also be sorted by oldest date, which brings ready prepaid orders to the top rather than leaving them lower in a date-sorted list. Ask staff to demonstrate the views they would use during a normal packing shift.

Confirm channel and migration fit

Check the sales channels the business actually uses against each app's stated compatibility. Shopify Subscriptions lists Shopify POS alongside Checkout, customer accounts and Shopify Admin, and supports physical products and subscription sales both online and in person.

Recharge's listing names Shopify POS and Shopify Flow, plus integrations including Klaviyo and Stripe. Confirm the specific connections the store needs are available on the proposed setup.

If transferring contracts into Shopify Subscriptions is part of the decision, treat a successful import as a selection condition. Shopify's contract CSV requirements include specified column headers and a maximum file size of 10 MB. Confirm the proposed migration route can meet those requirements.

Make the selection decision

Request a demonstration using the proposed offer. Compare the customer view with the subscription, payment, order and packing records for an ordinary renewal and each exception the offer needs. Record manual work and the first delivery affected by a change.

Request sample exports before committing. Check that available exports provide the records your team needs. Price the plan that includes the required features at a realistic higher volume, with app charges, paid extras, store costs and payment processing shown separately. Obtain current terms for the Australian business, including billing currency.
